ATTENDANCE

  1. Purpose:
    This attendance policy outlines the requirements and expectations for participants attending Continuing Education (CE) courses provided by Hexagon Training. The policy aims to maintain the integrity and standards of our CE programs and ensure compliance with accrediting bodies.
  2. Eligibility:
    Only individuals who meet the following criteria are eligible to earn CE credits through our programs:
    - Licensed psychologists or other mental health professionals.
    - Participants who have registered for the course and paid the required fees.
  3. Attendance Requirements:
    To earn CE credits, participants must adhere to the following requirements:
    - Attend the entire course, including all scheduled sessions, breaks, and activities.
    - Sign in at the beginning and sign out at the end of each session.
    - Complete and submit any required course evaluations or assessments.
    - Comply with any additional requirements specified for the particular course.

Partial attendance will not be eligible for CE credits. It is the responsibility of the participant to plan their schedule accordingly to ensure full attendance.

  1. Late Arrival and Early Departure:
    Participants who arrive late to a session or leave early will not receive CE credits. It is the responsibility of the participant to plan their schedule accordingly to ensure full attendance.
  2. Certificates of Attendance:
    Certificates of Attendance will be provided to participants upon successful completion of the course. These certificates will indicate the number of CE credits earned based on full attendance and successful completion of course evaluations or assessments.
  3. Non-Compliance:
    Participants who do not meet the attendance requirements or fail to fulfill any other course-specific requirements will not be eligible to receive CE credits for the course. Hexagon Training reserves the right to deny CE credit to any participant in violation of this policy.
  4. Complaints Procedure:
    Participants who have concerns or grievances related to the attendance policy or CE credit issuance should refer to our Complaints Procedure below for resolution procedures.
  5. Modifications:
    Hexagon Training reserves the right to modify this attendance policy as necessary to comply with changing accreditation standards or improve program quality. Any changes will be communicated to participants in advance.

DIVERSITY, EQUITY, AND INCLUSION

At Hexagon Training, we are committed to fostering a diverse, equitable, and inclusive learning environment in all our programs and activities. We recognize the importance of DEI principles in our training content and practices, and we strive to ensure that our educational offerings are respectful, accessible, and beneficial to individuals from all backgrounds and identities. Our DEI policy encompasses the following key elements:

1. Review and Assessment:
- When the board of directors meets to review the content of proposed trainings (following a systematic process), they will go through a checklist to evaluate and enhance DEI aspects in our training materials and methodologies.

2. Inclusive Content:
- Ensure that workshop materials, examples, and case studies reflect diverse perspectives, cultures, and identities.
- Avoid reinforcing stereotypes or biases in any content.
- Ensure sufficient examples applicable to a variety of different populations are present.
- Ensure recommendations and considerations are applicable to a variety of different populations.

3. Diverse Facilitators:
- Strive to have facilitators from diverse backgrounds and identities to provide a range of perspectives.
- Ensure that facilitators are well-versed in DEI topics and skilled in creating an inclusive learning environment.

4. Accessibility:
- Make sure all workshop materials are accessible to participants with disabilities, including providing alternative formats for content as needed.
- Choose an accessible and inclusive venue and ensure it's equipped with the necessary facilities.

5. Inclusive Language:
- Use inclusive and respectful language throughout the workshop.
- Be sensitive to pronoun usage and gender-neutral terms.

6. Interactive and Engaging Activities:
- Incorporate interactive activities and discussions to engage participants and encourage them to share their experiences and perspectives.
- Consider using group exercises that promote empathy and understanding among participants.

7. Intersectionality and Power Dynamics:
- Discuss intersectionality, power dynamics, and biases of facilitators and presenters at the start of each training.

8. Ongoing Improvement:
- Commit to ongoing training and education for our team members and facilitators on DEI topics.
- Regularly review and update our DEI policies and practices to align with best practices and evolving standards.

9. Reporting and Accountability:
- Encourage feedback from participants on DEI-related matters and concerns.
- Maintain transparency in our DEI efforts and hold ourselves accountable for continuous improvement.

By adhering to these principles and practices, Hexagon Psychology is dedicated to creating a welcoming and inclusive learning environment where every participant feels respected, valued, and empowered to contribute to their fullest potential. COMPLAINTS

It is the policy of Hexagon Training to ensure that the services provided meet or exceed the expectations of every customer. To help ensure this, we actively seek feedback from all customers. We encourage our customers to connect with us if they feel that their expectations have not been met. Hexagon Training uses a structured approach to ensure the complaint is resolved and will use this information to implement continuous improvement.   

  1. The complainant sends the complaint to Christine Walker, the clinic manager, at [email protected] (participants can request anonymity when emailing the clinic manager) 
  2. The complaint is assigned to the appropriate Hexagon Training director and initially responded to within 14 working days.   
  3. Further clarification is sought from the complainant regarding   
    1. Nature of complaint   
    2. Acceptable resolution   
  4. Hexagon Training director attempts to resolve the issue in collaboration with the complainant. (Normally, a refund is issued) See refund policy.   
  5. If no immediate resolution is possible, the director consults the other directors, and they arrive at a decision about the complaint.   
  6. This decision may be appealed to the board of directors if there is additional information that was not considered.   
  7. The board will consider the additional information and make a final decision.   
  8. This decision is final, and no further correspondence will be entered into.   
  9. Complaints are reviewed during monthly meetings to ensure that they do not reoccur with future participants.  

The cut-off is three months after the date of an incident to accept a complaint unless there is clear evidence that the complainant needed longer, and therefore, Hexagon Training is willing to consider these exceptions.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. Who we share your data with

If you request a password reset, your IP address will be included in the reset email. If a CE credit agency asks us for confirmation of your attendance at an event, we will confirm or deny your attendance with them.  Otherwise, we don't share your information with anyone.

How long we retain your data

If you register for a webinar, we keep your name and email and other contact details for three years as required by CE credit approval bodies. We don't keep your credit card number. We add your email address to our mailing list with your permission. We will delete you off the mailing list if you ask.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service. We also add you to our mailing list program.

CONFLICTS OF INTEREST

 Hexagon Training is committed to the identification and resolution of potential conflicts of interest in the planning, promotion, delivery, and evaluation of continuing education. Consistent with concepts outlined in the APA Ethical Principles of Psychologists and Code of Conduct, potential conflicts of interest occur when an individual assumes a professional role in the planning, promotion, delivery, or evaluation of continuing education where personal, professional, legal, financial, or other interests could reasonably be expected to impair his or her objectivity, competence, or effectiveness.

Potential Conflicts of Interest in the Planning of Continuing Education

The board of directors is responsible to identify, declare, and resolve any potential conflict of interest the Hexagon Training may have in offering any specific program of continuing education. In the event of a potential conflict of interest, the board of directors will assume responsibility to resolve the potential conflict by ensuring that the individual works collaboratively with other members of the team that have no known conflicts of interest or removing the individual.

Hexagon Training requires that professionals participating in the planning of continuing education identify any potential conflict of interest they may have in the review, selection, development, delivery, or evaluation of that program and disclose the conflict or recuse themselves from any decision-making concerning that program. In the event of a potential conflict of interest, the board of directors will ensure that the individual recuses him or herself from the planning process.

Potential Conflicts of Interest in the Promotion of Continuing Education

When preparing promotional material for continuing education, Hexagon Training includes information concerning any financial support, including in-kind support, provided by another party. Hexagon Training also informs potential participants of any potential conflicts of interest an instructor. If there is no financial support or any potential conflict of interest or commercial support, Hexagon Training will ensure that is clearly stated in the promotional material. If information about financial support or any potential conflict of interest is not included in the promotional material prepared for continuing education, Hexagon Training will clearly indicate how a potential participant can secure that information.

Potential Conflicts of Interest in the Delivery of Continuing Education

Hexagon Training requires that there is a process to clearly describe any financial support for a continuing education program at the time the continuing education program begins. Any other relationship that could be reasonably construed as a conflict of interest will also be disclosed. If there is no financial support or potential conflict of interest, Hexagon Training will ensure there is a process (e.g., a designated individual or a slide at the start of the presentation, documentation in materials) to clearly state any potential conflicts at the time the continuing education program begins.
